Part B - Privacy Policy

1. Introduction and Scope

STREAM respects your privacy and handles personal data in line with the Personal Data Protection Act 2010 of Malaysia, as amended ("PDPA"), and other laws that apply to us. This Privacy Policy explains what personal data we collect, why we collect it, how we use and protect it, and what choices you have.

This Privacy Policy applies to:

  1. the Stream Group website;

  2. the STREAM CONNECTS mobile application (the "App"), which is used by our employees to carry out maintenance and service operations on Automated Waste Collection Systems;

  3. personal data we receive when you contact us, apply for a job, or deal with us in the course of business.

By using the Website or the App, or by giving us your personal data, you acknowledge that you have read this policy. Where the law requires your consent, we will ask for it.

2. Who We Are

The data user responsible for your personal data is STREAM GROUP SDN. BHD., 11, Jalan Sungai Besi Indah 5/2, Taman Sungai Besi Indah, 43300 Seri Kembangan, Selangor Darul Ehsan, Malaysia. Our contact details for privacy matters are in section 17.

3. Information We Collect

3.1 Information you give us

  1. Name, company name and job title.

  2. Email address, phone number and mailing address.

  3. The content of your enquiry, message or feedback.

  4. If you apply for a job: your CV, work history, education, qualifications, referees and any other details you submit.

  5. For employees using the App: your name, staff identification, login credentials and the work records you create.

3.2 Information collected automatically

When you visit the Website, we collect usage data such as your IP address, browser type, device type, operating system, pages visited, time spent on each page, referring website and the date and time of your visit. Some of this is collected through cookies (see section 9).

3.3 Information collected through the App

The App collects the work records that employees create, such as work orders, check in and check out times, maintenance and service records, photos and notes, together with device information needed to run the App, and location data as explained in section 4.

3.4 Information from other sources

We may receive business contact details from our clients, consultants, partners and project teams in connection with a project or enquiry.

3.5 Sensitive personal data

We do not ask for sensitive personal data through the Website. Please do not include it in your messages. If we need it, for example health or safety information for site work, we will ask for your explicit consent first.

4. Location Data (STREAM CONNECTS Mobile Application)

4.1 Location data we collect

The App accesses and collects device location data, including approximate location (derived from network, WiFi and mobile base stations) and precise location (derived from GPS). Location data is collected only from the mobile device on which the App is installed, and only while the App is open and in active use. The App does not collect location data in the background when it is closed. The Website does not collect location data.

4.2 How we use location data

Location data is used only for operational and record keeping purposes connected to project, maintenance and service work, namely to:

  1. confirm that an employee is at the assigned site when checking in to or out of a work order;

  2. attach a location stamp to preventive maintenance, breakdown and service records, so completed work can be verified and audited;

  3. display the nearest assigned sites and give map and routing assistance to a site;

  4. suggest the correct site when an employee creates a new job record, to reduce manual entry errors.

Location data is not used for advertising, marketing or behavioural profiling.

4.3 Permission and your control

The App asks for your permission through your device operating system before it accesses location data. Location permission is needed for site verification and for the App to work fully. If permission is not granted, or is later withdrawn in your device settings, the App will still open but site based functions will be limited, and work orders completed in that state will be recorded as location unverified. Employees should keep location permission enabled while carrying out assigned work.

4.4 Sharing of location data

We do not sell, trade or rent location data, and we do not share it with advertising networks or data brokers. Location data may be processed by the following types of service providers, strictly for the purposes in section 4.2:

  1. mapping and navigation providers, for maps, address lookup and route guidance;

  2. cloud hosting and infrastructure providers, for secure storage of records that carry a location stamp;

  3. application analytics and crash reporting providers: name the tools used, or delete this item if none are used], for diagnosing errors and improving App stability.

Location stamps on a service record may also be disclosed to the building owner, developer, management corporation or other client who engaged STREAM for that site, as evidence of attendance and completion of work, and to authorities where the law requires.

4.5 Retention and security

Location data forms part of the service record it is attached to and is kept for the retention period in section 10. It is sent over encrypted connections and can be accessed only by authorised personnel who need it for maintenance, service or audit purposes.

4.6 Enquiries

Questions or requests about location data can be sent to info@stream-environment.com.

5. How We Use Your Information

We use personal data to:

  1. respond to your enquiries and provide the information, quotations or support you request;

  2. deliver, manage and support our products, projects and maintenance services;

Because we operate in several countries and use cloud and other service providers, your personal data may be stored or processed outside Malaysia, including in Singapore, the United Arab Emirates, Saudi Arabia, India and other places where our providers operate. When we transfer data abroad, we take steps to make sure it stays protected to a standard that meets the PDPA, for example through contracts with providers or other safeguards allowed by law.

These include access controls, encrypted connections and limiting access to staff who need the data for their work. No method of transmission over the internet or electronic storage is completely secure, so we cannot guarantee absolute security. If a data breach occurs that is likely to cause significant harm, we will notify the authority and affected individuals where the law requires.

12. Your Rights and Choices

To make a request, contact us using the details in section 17. We may need to verify your identity first, and we may charge a reasonable fee for access requests where the law allows. We will respond within the time the law requires. If we cannot meet a request, we will explain why.

13. Employees and Job Applicants

Employees who use the App or whose data we hold for employment purposes should note that data such as location stamps, work records, login details and attendance information is employee personal data.
